Upload, prep, sign, and keep transaction documents in order

Documents flow into Backhouse from wherever you already are, and your assistant does the filing.

Getting documents in

  • Attach in chat. Drop a PDF or photo into a conversation with your assistant.
  • Email them. Forward or cc your workspace's Backhouse address. Attachments are read automatically.
  • Text them. Snap a photo of a signed page and text it to your assistant.

However it arrives, Backhouse classifies the document (contract, amendment, disclosure, and so on), extracts the parties, dates, and amounts, and links it to the right property and deal. Anything it isn't sure about gets flagged for your review instead of guessed.

Prepping forms

Ask your assistant to prep a form from your workspace's templates, a buyer's rep agreement, a listing agreement, an amendment. It fills in what it knows from the deal and your contacts, tells you exactly which fields it filled, and leaves blank anything it doesn't know. It never invents numbers, dates, or names.

Signatures

When a document is ready, send it for signature. Each signer gets a private link by email, confirms their identity with a code texted to their phone, and signs. Every step is recorded, sent, viewed, verified, signed, so you have a full audit trail, and the final executed PDF is sealed with a certificate page.

Signers need both an email and a phone number on file. If someone's missing one, your assistant will tell you before anything goes out.

Before it goes to your broker

Run a compliance check on the file and Backhouse reviews the bundle. Missing signatures, incomplete forms, names and dates that don't match across documents, addenda the terms require. Issues come back itemized with severity, so you fix everything in one pass.
